Onboarding & Design Guide
The following document outlines the process of becoming a valued client of Your Garden Companion, including what to expect during each phase of the journey. We’ll work closely with you to determine your consultation date and guide you through the steps to create a sustainable, beautiful outdoor space that reflects your vision.
0. New Client Consultation
Explore Your Property: We start by observing your outdoor space to understand its unique conditions, including soil quality, microclimates, sunlight exposure, and existing features. This step helps us identify opportunities to enhance your dream property while respecting its natural character.
Hear Your Goals: Your vision is the foundation of our design. During the consultation, we’ll discuss your priorities—whether it’s creating a family-friendly outdoor space, promoting conservation, minimizing maintenance, or all the above. This ensures the final design aligns with your lifestyle and long-term goals. Establishing a budget at this time or soon after allows us to help you meet your goals within your budget over time.
Define the Design Scope of Work: To help you get started, we review the elements of the design, and outline the specific costs associated with your specific property, such as soil testing, assessing irrigation, water harvesting opportunities, microclimates, prepping the site, meetings with hardscapers, gutter contractors and or arborists, for example. We also plan for hardscaping needs (trails, fencing, raised beds). Once those foundation steps are taken with several onsite meetings with you, we finalize the design, review it, make changes and then develop an installation plan for the main priority areas. This customized Scope of Work is completed and then finalized with a contract to get you scheduled for the coming season.
Consult Cost:
• Consultation within 15 miles of Bend, $175/hr., beyond 15 miles of Bend, $200/hr.
• Scope of Work (SOW), $100/flat fee.
1. Design or Maintenance?
Whether your property already has an established landscape or you are needing renovation, this is decided after the first consultation. All projects need base maps and soil testing to help us make wise decisions as well as an irrigation assessment to determine what needs you may have.
Other properties may have arbor work or preparation needed prior to the design.
Cost:
This is entirely dependent on you and your property’s needs. The design cost for most residential properties is around $2,500 to $6,000 depending on size, irrigation needs, and your project scope (SOW).
2. Installation Phase
Installation is implementation of the design and can be done solely by Your Garden Companion staff or in collaboration with you on site, frequently or occasionally working together. Your time would replace our crew time and so we bill less when you are helping. You may also have experience and be able to do part of the project without us.
If you are a Do-It-Your-Selfer, we will review what each of us are doing for the project so we can work together safely and collaboratively. Together, we’ll create a healthier environment, add more habitat components and plants that are best suited to your project area. We will conserve water with a new or revised irrigation plan and ways to harvest water on your site. We will also provide plant protection and monitoring to help the plants get established.
Installation is weather dependent and starts once the design, installation and estimate are approved. This phase focuses on turning your design into a thriving reality!
• Adjust soil pH as needed to optimize plant health
• Install selected plants based on the design
• Finalize remaining hardscaping elements
Pollinators are out there waiting for us, so let’s get started!
Cost:
The cost of your project depends entirely on your property’s unique needs and vision. For most residential clients, installation and materials start at $5,000. However, for larger acreage or ambitious, creative ideas, budgets can exceed that. We’ll always work within the agreed Scope of Work and request permission if variables change e.g. desired gravel is out of stock, but we have an alternative solution.
3. Ongoing Maintenance (Optional)
Our maintenance focuses on long-term care. We help your garden flourish by pruning, harvesting seeds, and preparing for seasonal changes. You can choose to participate in this phase as much or as little as you’d like. If you have any questions or would like more details, don’t hesitate to reach out—we’re here to help!
We look forward to working together to create a landscape that enhances your outdoor space and brings your vision to life. In the meantime, feel free to explore our website gallery for inspiration.
